Procedure

All Major League, Minor League and Tee-Ball coaches to be contacted to see if anyone is interested to serve on the board for the 200x season as well as other volunteer positions. This "reach out" program shall be accomplished as follows;

1. Contact Major League Coaches and Board Members not coaching a team.  

2. Contact AAA Coaches.

3. Contact AA coaches.

3. Contact Tee-Ball coaches. 

4. General E-Mail will be sent to the membership that we have E-Mail address for.

5. Website "Homepage" will post "advertisement" for the month of June advising of committee's search for Board members.

6. Majority of Board shall not to consist of Managers or Coaches.

7. Prospective Candidates shall be asked to complete Volunteer Form and submit brief letter requesting desired position(s). If more than one individual desires to run for the same position those individuals shall be contacted before the election to advise them that they may run against someone.

8. Elections shall be held @ Annual meeting.

9. If you have any questions regarding any specific position a job description will be provided.

10. NOTE: President and Player Agent cannot manage or coach a team. President cannot Umpire any games.

Other volunteer positions include, but are not limited to, field maintenance, umpiring, auxiliary, audit committee, Christmas tree sales, Casino Night, Annual Banquet, and Collection Night.

Secretary - Minutes for Board and General Meetings, Attendance records, notify membership of meetings, Design and publish Raffle Tickets, Collection Night and Christmas tree thank you cards, Snack Bar Coupons and Opening Day Flyer. Maintain Web Site. 

Player Agent  - The player agent registers players, sets up the try-outs for player candidates, conducts the player draft, acts as an intermediary when trades are undertaken, observes managers and coaches in their handling of children and maintains a list of players who are eligible to be elevated to the Major League throughout the season.

Equipment Manager - Board Position Description: Equipment Manager (non-elected position). Estimated time Commitment: 150 hours/year

 October:

Establish equipment and uniform budget for board approval for the upcoming baseball season

Collect Fall Ball equipment

November:

 Empty all equipment bags and place equipment on shelving for winter storage.

 Perform a complete inventory.

 Inspect and repair all equipment.

December:

No activity

January:

Prepare ordering documentation for 3rd Base Sports.

Make an appointment about January 15th with Bob at 3rd Base to place the order for all equipment and uniforms needed for the spring season.

February:

Provide equipment to support league try outs.

Take delivery and inventory new equipment from vendors.

Put Major League equipment bags together so managers have equipment bags by the time try outs end

March:

Submit order for sponsors name to be embroidered on hats

Put equipment bags together for AAA, AA and T Ball

 Distribute AAA equipment at the AAA Draft

Distribute AA and T Ball Equipment at the 1st Field day

 Take delivery of equipment and uniforms

Sort and distribute uniforms at 2nd Field day

Inspect umpire equipment and order items as needed.

 April

Distribute game balls, score books, first aid kits etc on opening day

 May:

Order all awards and trophies for AA Fun Day, 12-year-old recognition day, 11-year-old tournament and the banquet. Order AAA All Star Game uniforms

 Order all uniforms for 8, 9, 10, 11 and 12 year old Tournament Teams

June:

 Take delivery and inventory all awards, uniforms etc.

Ensure Minor League Director has all items needed for the AAA All Star Game and AA Fun Day.

 Ensure the Major League Director has all items needed for 12 Year Old Recognition Day

Collect equipment from all Teams and place in equipment room

Supply Tournament Managers with equipment and uniforms as needed

July:

Order uniforms for Fall Baseball Season

Distribute equipment and uniforms for Fall Baseball league

Tournament Director - Tournament Director-Manage and run CHALL's 11-year old sponsored tournament (if played) and coordinate all field activities for the 10 and 12 year old tournament games played at CHALL. Collect and organize information on 8-12 year old tournaments for use by managers of the teams.

Fund Raising  - Fund Raiser: Raising money for the league

1) Christmas tree sale.....ordering trees, setting up schedule etc
2) helping out on casino night
3) Sponsors....sending out team pictures, getting letters out preferably
before February.........
4) Collection night....mapping out town for the managers.....keeping
track of who has gone ut and what is collected
5) anything else that seems to raise money for the league

Managers and Coaches in good standing can vote for the  Board at the October General Meeting.

A Member (Manager / Coach) is considered to be "in good standing" if he/she attends 2 out of 4 meetings preceding the vote.
